Privacy Policy

JGW Capital Pty Ltd (ACN 695 866 347), trading as BetterQuote, is committed to protecting your privacy in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

BetterQuote is a quoting tool for Australian tradespeople, operated by JGW Capital Pty Ltd (trading as BetterQuote). For any privacy question or request, contact us at support@betterquote.au.

2. Information we collect

BetterQuote handles two different kinds of personal information, and the distinction matters.

Your information (the account holder)

Account details: business name, owner name, phone number, email address, ABN, trade type, and default margin entered during onboarding or in your settings. We sign you in with a one-time code sent to your email — we do not use or store passwords.

Bank details: if you choose to add bank details for display on your quotes, we store them for that purpose. Subscription payments are processed by Stripe; we do not store full card numbers.

Usage data: your quote history, win/loss outcomes, and how you interact with the service.

Your customers' information (data you enter about your clients)

To create a quote, you may enter information about your own customers — their name, contact details and site address, plus job descriptions, photos (including sketches, site notes and drawings) and voice recordings. We call this client data. We store and process client data on your behalf so that you can generate and send quotes.

You are responsible for having the right to provide your customers' information to us, and for meeting your own privacy and consumer-law obligations to those customers. This is set out in our Terms of Service.

3. How we use your information

4. AI processing

BetterQuote uses Anthropic's Claude AI to turn your descriptions, photos, and voice notes into quotes. Your content is sent to Anthropic's API for this purpose. Voice recordings are first transcribed using Groq's Whisper service. We do not use your content, or your clients' data, to train AI models. 5. Who we share data with

We share data only with the service providers we use to operate BetterQuote:

We do not sell your data, and we do not share it for advertising. A current list of our service providers is available on request.

6. Overseas data processing

Several of our service providers store or process data outside Australia, mainly in the United States — including Anthropic, Groq, Stripe, Resend, Google, Twilio and Telegram. Where we disclose your information overseas, we take reasonable steps to ensure each provider handles it consistently with the Australian Privacy Principles.

7. Data storage and security

Your data is stored with Supabase, hosted in Australia (Sydney region). We use encrypted connections and access controls, and our database is not publicly readable.

Quote links and PDFs are public. Each shareable quote link and its PDF is hosted at a public web address protected by a long, randomly generated token. The token is not published or guessable, but anyone who has the link can open the quote without signing in, and these links do not currently expire. A quote link or PDF can include your customer's name and contact details. Only share a quote link with the people you intend to see it, and avoid putting sensitive information into a quote.

8. Accessing, correcting, or deleting your information

Under the Australian Privacy Act you can:

To make a request, see our Data & Privacy Requests page or email support@betterquote.au. We may need to verify your identity first, and we'll respond within a reasonable time (we aim for 30 days). Some records we are required to keep by law (see retention below). If your own customer asks you to delete information you entered about them, you can action this in your account or ask us to help. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.

9. Data retention

We keep your data while your account is active and for up to 12 months after you close it. Quote and financial records may be kept for up to 7 years to meet tax and record-keeping obligations. You can ask us to delete your data earlier, except for records we are required to keep by law.

10. Data breaches

If a data breach occurs that is likely to result in serious harm, we will notify the affected individuals and the Office of the Australian Information Commissioner, in line with the Notifiable Data Breaches scheme under the Privacy Act.

11. Messaging platforms

If you use BetterQuote through WhatsApp or Telegram, the privacy terms of those platforms (Meta for WhatsApp, and Telegram) also apply to messages you send through them. We only access messages sent to your BetterQuote account.

12. Changes to this policy

We may update this policy from time to time. Material changes will be notified via email or on the BetterQuote dashboard. Continued use constitutes acceptance.
